Who is responsible for your information?
Masons, 3 Church Street, Luton, Bedfordshire, LU1 3JE, is responsible for personal information collected through the Masons website, app and services, including bookings, reservations, private events, competitions, guest registration, customer feedback and Open the Box.
What we collect
We may collect your name, verified mobile number, email address where provided or required, age or eligibility confirmations, competition entry and draw history, presence/no-show information, contestant and prize records, booking and reservation details, private-event organiser and guest information, dietary and allergy information you choose to provide, membership details including delivery address and membership photograph, payment references and status, guest registration and security records, customer feedback and reviews, marketing preferences, consent records and technical or security information reasonably needed to operate and protect the service.
Why we use it
We use competition information to administer Open the Box, verify entrants, prevent duplicate or fraudulent entries, conduct and audit the draw, confirm contestants, administer prizes, deal with queries or disputes and keep the service secure. These uses are based on administering the competition you choose to enter and Masons’ legitimate interests in operating a fair, secure and auditable promotion. Information required by law may also be processed to meet legal obligations.
Optional marketing
Text, email and live telephone marketing are separate and optional. If you actively opt in, Masons may contact you through each channel you selected about Masons Matchdays, jackpots, live music and events. Marketing phone consent covers live calls from Masons, not automated recorded calls. Choosing not to receive marketing does not affect your competition entry. You can withdraw consent at any time using the unsubscribe instructions in a message or by contacting Masons. We may keep a minimal suppression record so that an opt-out continues to be honoured.
Customer feedback and public reviews
If you send feedback, Masons uses it to understand and improve customer experience and to respond where appropriate. Feedback is private unless you actively ask Masons to consider it for publication. Public-requested reviews are moderated before publication. If approved, the review text, rating, chosen display name and general visit category may be shown publicly. Contact details are not published. Masons may hide or reject reviews for moderation reasons while retaining an internal audit record where reasonably necessary.
Who we share information with
Masons uses service providers that help host and operate the application, database, payment processing, email delivery, file storage and mobile verification services. Those providers process information only as needed to provide their services to Masons and are subject to their applicable data-protection obligations. We may also disclose information where required by law, to protect legal rights or to investigate suspected fraud or security incidents.
International processing
Some technology providers may process information outside the United Kingdom. Where this occurs, Masons will rely on the provider’s appropriate contractual or other recognised safeguards for international transfers where required.
How long we keep information
Competition and audit records are kept only for as long as reasonably necessary to administer the promotion, evidence fair operation, resolve disputes, prevent fraud and meet legal or accounting requirements. Marketing information is retained while the consent remains valid and useful, subject to suppression records needed to respect withdrawals. Masons keeps channel-specific consent and withdrawal records so marketing preferences can be evidenced and honoured. Masons will periodically review information that no longer needs to be retained.
Photography and video
Open the Box takes place in a live hospitality venue where event photography or filming may occur. General venue footage may capture attendees incidentally. Where Masons wishes to feature an identifiable contestant or winner prominently in promotional material, Masons will explain the intended use and obtain any consent or release that is required. Competition entry and marketing consent are not treated as blanket consent for every promotional use of your image.
Your data-protection rights
Depending on the circumstances, you may have rights to request access to your personal information, correction of inaccurate information, deletion, restriction of processing, objection to certain processing, data portability and withdrawal of consent. These rights are subject to the conditions and exemptions in UK data-protection law.
